Job Role:
- Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Acting as the point of contact between the executive and internal or external colleagues. Handling correspondence directed to managers.
- Producing reports and presentations.
- Taking dictation and minutes and writing them up subsequently.
- Maintaining the current filing and database system, and looking for ways to improve current systems.
- Filing and retrieving corporate records, documents, and reports.
- Answering phones and routing calls to the correct person or taking messages.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Greeting visitors and deciding if they should be able to meet with executives.
- Accurately recording minutes from meetings.
- Making travel arrangements for executives.
- Performing office duties that include ordering supplies and managing a records database.
Basic Requirements:
- A degree preferred, or an equivalent of education plus experience in an office environment.
- Three plus years of related experience with proven office administration and customer service skills required. Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools.
- Proven interpersonal skills with experience providing complex administrative support in a high-profile
- environment with tact and diplomacy.
- Experience managing to a budget and with multiple deadlines required. Ability to work across teams and with a variety of projects and constituencies.
